Terms of Service

1. Acceptance of Terms
By accessing or using the PolyHealth platform ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service. The Service is operated by Ta-Tech Solutions ("Company", "we", "us") and is designed for use by healthcare facilities, their staff, and patients in Cameroon and across Africa.
2. Service Description
PolyHealth is a multi-tenant, white-label hospital management platform that provides electronic health records (EHR), appointment scheduling, laboratory management, pharmacy management, billing, telemedicine, AI-assisted triage, and related healthcare services. Each healthcare facility ("Tenant") receives a customizable instance of the platform.
3. User Accounts
You must provide accurate, current, and complete information during registration. You are responsible for maintaining the confidentiality of your login credentials, including your password and MFA device. You must notify your administrator immediately of any unauthorized use of your account. Sharing login credentials between users is strictly prohibited. Each staff member must have their own individual account.
4. Protected Health Information
The Service processes sensitive patient health data. All users must comply with applicable data protection laws of the Republic of Cameroon, including Law No. 2010/012 on Cybersecurity and Cybercrime and any applicable sector-specific health data regulations. Users must not access, copy, or share patient data except as required for their specific role and clinical duties. Unauthorized access to patient records is a violation of these Terms and may constitute a criminal offence.
5. Acceptable Use
You agree not to: (a) use the Service for any unlawful purpose; (b) attempt to gain unauthorized access to any part of the Service; (c) interfere with or disrupt the Service; (d) upload malicious software; (e) share confidential patient information outside the platform; (f) use the Service to discriminate against any patient or employee; (g) reverse-engineer, decompile, or disassemble any part of the Service.
6. AI-Assisted Features
The Service includes AI-powered features such as symptom checking, voice-to-text transcription, drug interaction alerts, and predictive analytics. These features are decision-support tools only and do not replace professional medical judgment. Healthcare providers remain solely responsible for all clinical decisions. AI outputs must be reviewed by a qualified healthcare professional before any clinical action is taken.
7. Service Availability
We strive to maintain 99.9% uptime but do not guarantee uninterrupted access. The Service includes offline capabilities, but some features require an active internet connection. We may perform scheduled maintenance with advance notice. We are not liable for any damages resulting from service interruptions.
8. Payment Terms
Tenant subscription fees are billed according to the selected plan (trial, starter, professional, enterprise). Payment may be made via mobile money (MTN MoMo, Orange Money), bank transfer, or other methods as agreed. Failure to pay may result in service suspension. Patient payment processing through the platform is the responsibility of the Tenant.
9. Intellectual Property
The Service, including its source code, design, logos, and documentation, is the intellectual property of Ta-Tech Solutions and is protected by copyright and other intellectual property laws. Tenants retain ownership of their data. By using the Service, you grant us a limited licence to process your data solely for the purpose of providing the Service.
10. Termination
Either party may terminate the agreement with 30 days written notice. We may immediately suspend or terminate access for violation of these Terms. Upon termination, the Tenant may request an export of their data within 90 days, after which data may be permanently deleted.
11. Limitation of Liability
To the maximum extent permitted by law, Ta-Tech Solutions shall not be liable for any indirect, incidental, special, or consequential damages arising from use of the Service. Our total liability shall not exceed the amounts paid by the Tenant in the 12 months preceding the claim. This limitation does not apply to liability that cannot be excluded by law.
12. Governing Law
These Terms are governed by and construed in accordance with the laws of the Republic of Cameroon. Any disputes shall be resolved by the competent courts of Douala, Cameroon.
13. Changes to Terms
We may update these Terms from time to time. We will notify Tenants of material changes via email or in-app notification at least 14 days before the changes take effect. Continued use of the Service after changes constitutes acceptance.
